PROMPT CREATION

At the client’s request, we needed to change all informal second-person verb forms to formal ones in a previously completed German translation for a webshop interface, without altering the rest of the text. Following the agreed workflow, the rephrasing was initially handled by AI. For this, we developed and tested the required prompt.

HUMAN REVIEW

The linguist on our team reviewed the AI-modified text and confirmed that the formal forms had been applied correctly. No unnecessary changes were made, and the text remained natural and easy to understand.

UPDATING THE TRANSLATION MEMORY

We updated the client-specific translation database with the revised translations to ensure that any recurring text in future projects uses the correct, updated version. This not only guarantees consistency but also serves as the basis for calculating discounts from repetitions.

Challenges

The biggest challenge in using AI was ensuring that only the necessary changes were made while leaving the rest of the text untouched. Additionally, to maintain transparency, it was necessary to visualize the changes for both the linguist and the prompt engineer so that potential errors could be quickly identified, and review and fine-tuning processes simplified.

Solutions

We utilized advanced prompt-engineering techniques, enabling the AI to make only the expected modifications, avoiding unnecessary rewrites. Furthermore, multiple versions of the text were prepared in translation tools, and a comparison using change-tracking was performed. This approach supported our linguist in conducting a quick and efficient review.

RESULTS

Thanks to the applied solutions, the AI achieved 100% accuracy in identifying and converting informal forms to formal ones while leaving the rest of the text intact. Based on feedback from our linguist, in rare cases, the formal form had to be manually reverted to the informal version because the text referred not directly to the user but to an interface element (e.g., the “Show More” button). These cases were corrected, and the learnings were shared with the prompt engineer to improve the handling of such specific contexts in future projects.
